How to deliver a long-form video alongside a Client Gallery

Workspace video delivery is designed for short client films, highlight videos, clips and slideshows. For a long ceremony, performance, speech or documentary film, use a dedicated video platform and connect it with the rest of the client experience.

Know the Workspace upload limits

Direct video uploads require a Pro or Pro+ plan. Each uploaded video must:

  • be an MP4 file;
  • be no longer than 15 minutes;
  • be no larger than 20GB; and
  • fit within the account's remaining video storage allowance.

Pro currently includes 30GB of video storage and Pro+ includes 60GB. These allowances are separate from image storage.

A video that exceeds the 15-minute duration limit cannot be uploaded directly even when its file size is below 20GB.

When external hosting is the better choice

Consider Vimeo or YouTube for:

  • a complete wedding or university ceremony;
  • long speeches, performances or presentations;
  • documentary edits and other long-form films;
  • films expected to be watched repeatedly by a larger audience; or
  • work that would use a substantial part of the account's Workspace video storage.

You may still upload a short highlight film to Workspace so it appears within the Client Gallery.

Create one connected client experience

  1. Upload the complete film to Vimeo or YouTube.
  2. Configure the video's title, thumbnail and privacy settings on that platform.
  3. Create a Workspace website page for the event or project.
  4. Add a Video widget and select Vimeo or YouTube as its source.
  5. Add a clearly labelled button or link to the relevant Client Gallery.
  6. If appropriate, connect a shorter highlight film directly to the Client Gallery.

This gives the client a branded page containing the long-form film and a clear route to the photographs, without using Workspace storage and streaming for the complete film.

Understand the gallery URL option

The Client Gallery's Add URL video option requires a direct MP4 file URL. It does not accept a normal Vimeo or YouTube page URL. An externally linked MP4 is for playback only and cannot be sold or supplied as a Workspace download.

For a normal Vimeo or YouTube link, use the Website Page Video widget described above.

Check privacy separately

A Workspace website page and an externally hosted video do not automatically inherit the access settings of a Client Gallery. Configure privacy on Vimeo or YouTube and review the published website page before sharing it.

An unlisted video reduces casual discovery, but anyone with its link may still be able to view or share it. Use the external platform's stronger privacy controls when the content requires them.

Choose the right home for each film

  • Short highlight or client film: upload it to the Workspace Media Library and connect it to the Client Gallery.
  • Long-form film: host it on Vimeo or YouTube and place it on a Workspace website page linked to the gallery.
  • Photo slideshow: build it with Workspace Slideshow Creator and connect the export to its source gallery.
