How to review, schedule and send an email campaign

Review the message, audience and timing before placing an Email Marketing campaign in the send queue.

Check the audience

Select the intended audience filter and review the recipient total shown in the campaign. If the total is zero or unexpectedly large, check the filter and the Audience screen before continuing.

Send yourself a preview

Use Send Test Email to send a preview to an address you control. This does not send the campaign to subscribers.

Check:

  • The sender name, subject and preview text.
  • Names, dates, prices and claims.
  • Every button and linked image.
  • Image quality and alt text.
  • The reply-to address.
  • The email on both a phone and computer.

Schedule the campaign

  1. Open the draft campaign.
  2. Confirm the selected audience and recipient count.
  3. Complete the subject, content, sender details and mailing-list address.
  4. Send yourself a preview email and make any corrections.
  5. Set the date and time in Schedule.
  6. Select Save & Send.
  7. Confirm that you want to schedule the campaign.

Choose the time thoughtfully

Use the time zone shown by your Workspace account and allow enough time for a final review. Avoid scheduling a time that has already passed or relying on a last-minute campaign for information clients must receive urgently.

Change a scheduled campaign

If the campaign has not yet entered the send process, open it and remove or reset the schedule. Make the required changes, send another preview where appropriate, then choose a new date and time.

Recheck the audience and recipient total after changing the content, filter or timing. Subscription status and audience membership can change between the original schedule and the revised send.

After sending begins

A campaign that has already entered the send process should be treated as sent. Email messages cannot be recalled from recipients' inboxes. If a serious correction is required, send a separate, clear follow-up to the appropriate audience.

What happens at send time

Workspace checks the audience again. Contacts who no longer match, have unsubscribed or cannot receive the campaign are not deliberately forced back into the send.

After the campaign runs, use Activity and the campaign reporting to review delivery, opens and clicks.
