Connect your Zoom account to create meeting links for virtual appointments booked through Workspace. The connection belongs to your Workspace user, not everyone in your studio account.
Before you start
You need a Workspace login with access to bookings and a Zoom account you are authorised to connect. If your organisation restricts Zoom apps, ask your Zoom administrator to approve Queensberry Workspace.
Connect Zoom
- Sign in to Workspace as the person who will host the appointments.
- Open Settings > Integrations and find Zoom under User Level Integrations.
- Select Connect Zoom, sign in to the intended Zoom account and review the requested permissions.
- Authorise the connection, then return to Workspace. Check that the page shows Connected to Zoom.
Workspace uses your Zoom profile to identify the connected user and meeting permissions to create, retrieve, update and delete scheduled meetings. This integration does not create webinars or access meeting recordings, transcripts or chat.
Create a virtual booking
- Open Client Management > Bookings & Availability > Self-Booking Packages.
- Create or edit the package and set Booking Type to Virtual (Zoom).
- Review the session length, time zone and booking rules. Make booking times available for the host, then save the package.
- Open the package's booking page and make a test booking.
- Review the booking and its diary appointment. Check that a Zoom join link has been saved before sharing it with your client.
See How to create a self-booking package and booking page and the advanced package settings guide for availability and payment settings.
Changes and calendar sync
Make scheduling changes in Workspace, then check the appointment time and Zoom meeting details. Connecting Zoom creates meeting links; it does not by itself connect your Google or Microsoft calendar. Those are separate integrations.
Disconnect or remove Workspace
To disconnect in Workspace, open Settings > Integrations > Zoom and select Disconnect Zoom. Workspace requests revocation of the Zoom authorisation and removes the saved connection used to access your Zoom account.
You can also remove Queensberry Workspace from the added apps area of your Zoom App Marketplace account. After removal, return to Workspace and disconnect any connection still shown there.
Disconnecting is not the same as cancelling appointments. Do not assume that existing Zoom meetings or links already saved in booking records have been deleted. Review existing meetings in Zoom and update or cancel affected bookings separately.
If a link is missing
- Check that the booking host's own Workspace user shows Connected to Zoom. Another team member's connection does not connect yours.
- Check that the package uses Virtual (Zoom), rather than an in-person location.
- If authorisation has expired or permissions have changed, use Reconnect Zoom and review the requested access.
- A saved booking does not by itself confirm that Zoom meeting creation succeeded. Check for the join link before sending it to your client.
If you still need help, email workspace@queensberry.com with the booking reference and a description of the problem. Do not send passwords, authentication codes, access tokens or private meeting passcodes.
