Advanced guide to self-booking package settings

This guide explains the individual settings available when creating or editing a Workspace self-booking package. Use it alongside How to create a self-booking package and booking page.

Open Client Management → Bookings & Availability → Self-Booking Packages, then create a package, copy a template or edit an existing package.

Details

Package Title

This is the internal and client-facing name of the session package. Use a specific title that distinguishes it from your other offers, such as “Autumn Family Mini Session” rather than “Package One”.

Project Workflow Template

Select the Project Workflow that should be applied when the booking creates its Project. This can add the repeatable internal tasks you use to prepare, photograph, edit and deliver that type of session. Leave it unselected when the package does not need an automated project checklist.

Specialty

Use Specialty to describe the photography category, such as family, newborn, wedding consultation or corporate portrait. This helps identify and organise the purpose of the package.

Scheduling Mode

Scheduling Mode controls how clients are offered appointment times.

  • Automated Intervals generates available start times from your availability, Session Length and Calendar Slot Interval.
  • Fixed Session Times offers only the exact weekday and time combinations you enter. This is particularly useful for mini-session days or another tightly planned schedule.

Minimum Booking Notice

Enter a number and choose hours or days. Workspace will not offer a session that begins inside this notice period. For example, one day prevents a client from making a same-day booking.

Allow enough notice for communication, preparation, travel or equipment requirements.

Session Length

Available with Automated Intervals, this is the time occupied by the session. Enter the hours and minutes required for the client appointment itself.

Session Length is not the same as the interval between possible start times. Consider any preparation, travel or recovery time when setting your broader availability.

Calendar Slot Interval

Available with Automated Intervals, this controls the spacing between possible session start times. For example, a 30-minute interval can offer 9:00, 9:30, 10:00 and so on, provided each booking fits the available time and does not conflict with another appointment.

The interval can be shorter than the Session Length. A 60-minute session with a 30-minute interval may offer more choices of starting time, but confirmed bookings still occupy their full session duration.

Maximum Bookings Per Day

This limits how many bookings from the package may be accepted on one day. Set it to 1 when you only want one session per day. Leave it blank when you do not need a package-specific daily limit.

This is useful when availability alone does not express your workload—for example, when several appointment times are technically possible but you only want to photograph three sessions that day.

Allow Bookings Until

This is the last session date clients can choose. Use it for seasonal offers, events or packages that should stop accepting future dates. Leave it blank when the package should remain available indefinitely.

Fixed Session Times

When Fixed Session Times is selected, enable each weekday you want to use and add its exact start times. Disabled days are not offered.

The Copy control lets you copy the times from one weekday to selected other weekdays. This is useful when several days share the same schedule. Review the copied days afterwards if any of them need different times.

Booking Type

  • In Person / Custom Location is used for studio, on-location or other appointments where you provide the location details.
  • Virtual (Zoom) creates a Zoom meeting for the booking and records the join link with the booking and diary appointment.

Zoom must be connected under Settings → Integrations before you can use the virtual booking type.

Location / Address

For an in-person package, enter the studio, venue, meeting point or concise on-location instructions the client needs. Avoid adding sensitive access information that should only be sent after a booking is confirmed.

This field is not used for a Zoom booking because Workspace creates the virtual meeting details instead.

Payment Required

Choose how much the client must pay during booking:

  • No upfront payment allows the booking to proceed without payment at that point.
  • Deposit requires the Deposit Amount entered below.
  • Full payment requires payment of the package total.

Stripe must be connected when you require a deposit or full payment.

Deposit Amount

Enter the amount due at booking when Payment Required is set to Deposit. Make sure it does not exceed the package total and that your booking and cancellation wording explains how the deposit is treated.

Exclusive booking window

Use an exclusive booking window when the availability within a particular date range should be reserved for packages covering that same period. While the window is active, other packages without matching exclusive date coverage cannot use that availability.

This is useful for mini-session events or another limited campaign where you do not want ordinary packages competing for the same appointment times.

Booking Window Start and Booking Window End

These fields define the date coverage for the Exclusive booking window. Enter both dates and make sure they match the period being promoted. These settings reserve availability; Allow Bookings Until separately controls the final session date a client can choose.

Booking Page

Direct Package URL

After the package has been saved, Workspace provides a direct booking URL. Use it in an email, button, FindMe page, social profile or another place where you want to send someone directly to this package.

Headline

This is the prominent heading on the booking experience. It can match the Package Title or use more client-friendly campaign wording.

Pricing Label

This is the short price description shown to the client, such as “$300” or “From $300”. It is display wording and should accurately reflect the items, add-ons and payment required by the package.

Intro

Use the introduction to explain who the package is for, what makes it useful and what the client should know before selecting a date. Keep the essential information visible and avoid repeating the complete policy text here.

Booking Confirmation Message

This message appears after the booking is submitted. Confirm that the booking has been received and explain what happens next. Do not promise that the session is final if your studio still needs to review or approve something.

The field supports the example client-name merge tag shown in the editor. Preview the final wording so it still reads naturally if personalised details are unavailable.

Package Image

The image appears on the booking page and package selector. Choose an image that clearly represents the session and remains effective when cropped or displayed at different sizes. Avoid putting essential wording inside the image.

Embed

Workspace provides an embed snippet after the package has been saved. Use it to place the booking experience on a compatible external website. If you do not manage that website yourself, give the snippet to the person responsible for it.

Policies

Booking Notes and Policies

Use this area for practical conditions and expectations, including what is included, what happens next, arrival guidance, weather arrangements or other information that affects the booking.

Cancellation Policy

Explain what happens if the client cancels, reschedules or arrives late, and how any deposit or payment is treated. Your policy should suit your jurisdiction and business; seek appropriate professional advice if required.

Contract (optional)

Select a Contract Template and add it when the package requires an agreement. More than one contract can be associated where genuinely necessary, although a concise client experience is usually easier to complete.

Prepare the Contract Template before adding it to the package and make sure its wording matches the package, payment and cancellation settings.

Items

Items are included in the package total. For each item, review:

  • Item name — the service or product being supplied;
  • Description — optional supporting detail;
  • Rate — the price per unit;
  • Unit — how the item is measured; and
  • Quantity — how many units are included.

Use clear client-facing names. The item rates and quantities contribute to the package total shown in the editor.

Add-ons

Add-ons are optional items the client may choose during booking. Configure their name, description, rate, unit and quantity in the same way as included items.

Only offer choices that are appropriate to decide at booking time. A short list of relevant additions is easier to understand than a large catalogue of possible upgrades.

Items count and total

The summary at the bottom of the editor shows the current number of included items and the calculated package total. Review this after changing rates or quantities. If you use a Pricing Label, ensure that its wording remains consistent with the calculated amount and any optional add-ons.

How these settings work with availability

The package settings do not create working hours by themselves. Your general availability, existing bookings and blocked time still affect what a client can choose. A time must satisfy both the package rules and your available calendar.
