Workspace includes several tools that reduce repeated setup and communication. They are related, but each serves a different purpose.
Forms collect information
Use forms to capture enquiries, mailing-list sign-ups or information from an existing client. A form can create or update useful records, but you should still review the response and reply appropriately.
Project Workflows organise internal work
A Project Workflow is a reusable checklist for the steps your studio needs to complete. Apply one to a project so tasks, timing and responsibility are visible. Project Workflows do not send a marketing campaign to a gallery audience.

Gallery Sales Workflows communicate around a gallery
Apply a Gallery Sales Workflow to a gallery and choose triggers based on dates or gallery behaviour. Examples include a gallery-release message, bulk cut-off reminders, abandoned-cart follow-up or confirmation that photographs are on their way.

System Emails support operational messages
System Emails are reusable notifications associated with supported Workspace events. They include messages such as Your downloads are ready, Thank you for your order, and invoice or payment-related emails. Personalise their wording and email design to suit your brand and client experience. Workspace manages the sender details. Review the content and timing before relying on these messages.
Templates give you a reviewed starting point
Templates may support forms, contracts, quotes, invoices, email, workflows and booking packages. Adapt every template to your own service, jurisdiction and tone of voice.
Contracts, tax wording and other legal or financial material should be reviewed by an appropriate professional adviser in your jurisdiction.
Choose the lightest useful tool
- Write down the repeated task or message.
- Create a template if only the content repeats.
- Use a workflow if a sequence of actions repeats.
- Add automation only when the trigger and expected outcome are clear.
- Review the result regularly rather than assuming it will remain correct forever.
