Price Lists control which products customers can order through your Client Galleries and Print Shop, the prices they pay, how orders are fulfilled and how shipping is charged.
You can create different price lists for different types of work, product ranges or image aspect ratios. Price Lists are separate from the quotes and invoices used in Studio Management.
Before you create a price list
Review your business, tax and home-region details in Workspace. The setup uses your home-region currency and tax profile. You are responsible for confirming that your tax settings are appropriate for your business.
You do not need to finalise every price-list setting before you begin. As you create the price list, Workspace will guide you through:
- who will fulfil the products;
- whether the prices you enter include or exclude tax;
- how shipping will be charged;
- the image aspect ratio the initial product selection should suit; and
- whether Workspace should provide a suggested starting selection.
You can make these choices during setup and then review the resulting products, prices and settings in the Product Builder.
Create the price list
- Open Settings.
- Select Price Lists.
- Choose Create Price List.
- Enter an internal price-list name. Customers do not see this name.
- Review the displayed home-region currency, region and tax profile.
- Select Continue.
Choose tax, fulfilment and shipping
Choose whether prices are displayed:
- Including tax—the selling price you enter is the final customer-facing amount; or
- Excluding tax—Workspace adds the configured tax separately.
Next choose who will fulfil orders:
- Queensberry fulfilment in your own region;
- Self fulfilment; or
- Both Queensberry and self fulfilment.
Self-fulfilment options require a Pro plan or above. You can also enable Queensberry fulfilment in other regions where it is available.
For Queensberry-fulfilled orders, either pass on the applicable Queensberry wholesale shipping charge or set your own shipping fee. For self-fulfilled products and packages, enter the shipping fee per shipment. An order containing both fulfilment types may incur both shipping charges.
Set the colour-correction default
Choose whether the price list should default to Premium colour correction or No colour correction required. Review the individual products later in the Product Builder where necessary.
Choose a starting markup
Enter the markup percentage Workspace should use as a starting point for print-pricing shortcuts. This is only a starting value: you can change prices and category settings once the builder opens.
Choose whether to pre-populate the price list
If you choose to pre-populate it, Workspace applies suggested products, sizes and paper defaults before opening the builder. Select the gallery purpose:
- Client Gallery;
- School Gallery; or
- Print Shop.
Select the aspect ratio that best matches your files, such as 3:2, 4:5 or 4:3, and choose the preferred Lustre or Matte print starting point where offered.
Pre-population gives you a useful starting selection that you can review and adjust in the Product Builder. If you select School Gallery, Workspace can add suggested individual products first; you can then add the packages that are relevant to your school photography offer.
If you already have a very specific product range in mind, choose manual setup and add only the products and packages you want to sell.
Select Continue to Product Builder.
Use the Product Builder
The builder organises products by fulfilment type and category. Depending on your plan and setup, the navigation may include Queensberry products, Digital Downloads, Video Clips, Packages, Shipping, self-fulfilled products and Custom Products.
- Choose a category from the left side.
- Select Add Product.
- Choose the size, finish and other available product options.
- Add the product and enter its selling price.
- Repeat for the remaining products you intend to offer.
- Review the Shipping section and any category-specific settings.
Use Customise Product Details where you want to add customer-facing product information or imagery. If you upload your own image for a product, Workspace stops using generated preview scenes for that product and displays your uploaded image instead.
Add volume prices to eligible prints
Eligible loose-print products include a Volume prices option. You can add two quantity breaks so the unit price reduces when a customer orders more prints of the same size and paper or finish. Different photographs can count together when those product details match.
See How to add volume pricing to prints for the complete setup and examples.
Add packages
Packages are created separately and then added to a price list. See Create packages and add them to a price list.
Connect the price list to a gallery
Open the Client Gallery or Print Shop, open its settings and select the required price list. For volume work, check several student collections after importing to make sure each one uses the intended price list.
Review before release
Open the gallery as a customer and check a representative selection of products, prices, crops, package choices, tax, shipping and checkout. This confirms that the price list is suitable for the images and gallery type before orders begin.
