Account access, passwords and security in Workspace

Protecting your Workspace account helps protect your business information, client details, galleries and orders.

Use individual user access

Where more than one person works in the account, give each person their own user access. Do not share one password across a team. Individual access makes it easier to remove access when someone leaves and reduces the need to disclose an account owner’s credentials.

Choose a strong password

  • Use a password that is unique to Workspace.
  • Avoid names, dates and passwords used for other services.
  • Store it in a reputable password manager rather than in an email or shared document.
  • Change it promptly if you think it may have been exposed.

Reset or change access

Use the password-reset option on the Workspace login screen if you cannot sign in. Make sure you can access the email address associated with your user. If a team member no longer requires access, remove or update their access from your account settings.

Review account information carefully

Before sharing galleries, portals or documents, check that they belong to the correct client and use the intended privacy settings. Account security and client-facing privacy settings work together, but they are not the same thing.

If you suspect unauthorised access

Change the affected password, review team access and contact Workspace support promptly. Include enough detail for the team to identify the account, but never send your password by email.
