How to use a form to collect mailing-list sign-ups

A mailing-list sign-up form gives people a clear way to ask for future emails from your studio.

Choose the right form setup

Open Forms and create a form. You can either use it as a dedicated Mailing List Signup form or add a separate mailing-list opt-in checkbox to an eligible lead or information form.

A dedicated sign-up form is clearest when the only purpose is joining your list. An optional checkbox works when someone is completing a different form and marketing is offered as a separate choice.

Explain what people are joining

State what subscribers can expect—for example studio news, session availability, useful photography advice or occasional offers. Avoid wording that hides the marketing purpose.

Collect only what you need

Ask for an email address and enough name information to recognise the subscriber. Extra questions should have a clear purpose.

Confirmation

When email confirmation is used, the person is not fully subscribed until they follow the confirmation link. Workspace can then use the Mailing List Signup Confirmed System Email as a welcome message.

Before sharing the form

  • Complete it with an address you control.
  • Check the confirmation and completion wording.
  • Confirm the contact has the correct mailing-list status.
  • Open the form on a phone.
  • Make sure the form's promise matches the emails you intend to send.
