Volume Portrait accounts: an overview

Volume Portrait accounts bring high-volume gallery management, online sales, payments, Queensberry printing and fulfilment together in Workspace. They are designed for New Zealand photographers working with schools, daycares, clubs, teams and other volume events.

The terminology in this section usually refers to schools, parents and students, but the same principles can be adapted to other volume photography work.

Built for high-volume photography

A volume job may involve hundreds or thousands of photographs and a concentrated period of orders. Workspace helps you organise the job so families can find the right images, order online and choose the delivery options you make available.

The platform supports different business models. You can create private student collections with individual credentials or use one shared gallery organised with categories.

A connected sales and production workflow

After the gallery, files, products and prices have been prepared:

• Families view and order through your branded gallery experience.

• Payments are processed through your connected Stripe account.

• The wholesale product cost and applicable charges are accounted for through the Workspace sales process.

• Queensberry produces the prints and products ordered.

• Orders use the delivery options available for that gallery, including custom-address shipping and, when offered, consolidated delivery to the school or daycare.

The shopping experience works much like other Workspace galleries, with additional tools for student access, shared photographs and bulk delivery.

What successful studios can achieve

Some photographers using Workspace have generated between NZD 15,000 and NZD 45,000 in sales in a single month. These figures are shared as an aggregate range to protect client confidentiality. They are examples, not a promise or guarantee of results.

Results depend on the number of students and schools, photography, pricing, product selection, communication, ordering deadlines and the accuracy of the complete workflow.

Key Volume Portrait features

Student collections and logins: match each student to the photographs they are allowed to see.

CSV collection creation: create and update many collections from structured data.

Shared and class photographs: make appropriate group photographs available alongside individual portraits.

Login Portal: give families a branded place to access their photographs.

Pre-registration and gallery email: collect caregiver details and communicate directly when consent and student access data are available.

Products, packages and digital delivery: decide what families can purchase and how it is priced.

Gallery Sales Workflows: support release messages, reminders and promotions.

Bulk delivery: consolidate eligible orders for delivery to the school or daycare.

Products and delivery

You choose the prints, packages and other products offered in the gallery. Product availability and delivery requirements can differ, so check the current Queensberry product and freight information while building the price list.

Class Photos and School Photos can be given their own products and can restrict digital downloads where appropriate. For safer cropping, match portrait products to the aspect ratio of the individual files and use dedicated class-photo products where the group design needs a different shape.

Plans and current charges

Volume Portrait features are available on Workspace Pro and Pro+ plans, which can be paid monthly or annually.

Bulk delivery and other order charges can change. Check the current Workspace plan, product-pricing and checkout information rather than relying on an amount copied into an older guide.

Start with a tested workflow

Every volume photography business works differently. Before the first large release, document how you will name files, structure collections, sell products, contact families and deliver orders. Build a small representative gallery, place test orders and ask the Queensberry team to review any part of the setup that is uncertain.
