School photo complaints can involve the photography, the image selected, a file, the product, delivery or expectations that were never made clear. Respond calmly, collect the facts and avoid promising a reprint or refund before you know what happened and where the order is in production.
Start by listening and recording the complaint
Acknowledge the concern and ask for:
• The parent's or caregiver's name and contact details.
• The school, gallery and student collection.
• The Workspace reference and order number.
• The filename and product concerned.
• Photographs of the received product where relevant.
• A clear description of what they expected and what they received.
Keep the conversation private. Do not discuss another child or share another family's images while investigating.
Identify the type of problem
Separate the complaint into one or more categories:
• Photography expectations: expression, pose, eyes, hair, clothing or a child not smiling.
• Customer selection: the family ordered a different image, crop, size or delivery method from what they intended.
• File issue: colour, retouching, spelling, design, crop or the wrong source file.
• Product or production issue: damage, finish, print quality or manufacture.
• Gallery or login issue: missing, incorrect or exposed images.
• Delivery issue: wrong address, missing bulk order, delay or damage in transit.
The appropriate response depends on this distinction.
Manage photography expectations fairly
Children do not always smile, look at the camera or respond to direction in the same way. A class photograph may not contain a perfect expression from every child.
Compare the concern with what the studio promised, the images shown before ordering and any retake policy agreed with the school. Be empathetic without guaranteeing that every expression can be recreated or corrected.
Check the actual order
Use the order reference to confirm the selected filename, crop, product, quantity, delivery method and status. Do not rely only on a screenshot from the gallery, because the order records what was submitted at checkout.
If there is a file issue
Replace the gallery file promptly so future orders use the correction. Then export Gallery Sales, identify every order containing the filename and contact Queensberry urgently.
Replacing the gallery image does not change existing orders. If a product has already been printed, a reprinting fee may need to be charged. If it has shipped, Queensberry cannot correct it before delivery.
If there may be a production or delivery issue
Send Queensberry the order reference, a concise description and clear photographs where appropriate. Keep the original packaging and product until the next action is confirmed.
Do not promise the outcome on Queensberry's behalf before the order and evidence have been reviewed.
Close the loop
Tell the family what you have established, what will happen next and when you will update them. Record the final decision and any change required in your photography, files, CSV, gallery, product description or communication.
