Direct Gallery Downloads and Digital Download products explained

Workspace can deliver digital files in two different ways: you can allow a client to download directly from the gallery, or you can offer Digital Downloads through the Shopping Cart. Choose the method that matches what the client has paid for and the experience you want to provide.

Direct Downloads

Direct Downloads let someone download an image from the gallery without adding it to the Shopping Cart. They are normally used when digital files are included in your service and you want to provide them without another checkout.

When Direct Downloads are enabled, the client uses the download control on the image. Review the gallery’s download settings before release, including the permitted download resolution and any limits or exclusions that apply.

Digital Downloads through the Shopping Cart

A Digital Download can also be added to a Gallery Price List as a product. The customer selects the file, completes the Shopping Cart and receives delivery information for the purchased download.

This method is useful when:

  • You sell individual digital files.
  • You offer different download sizes or prices.
  • Digital files are included in a package.
  • You want the selection and payment recorded as a sale.

A Shopping Cart product may have a selling price or be included at no additional charge, depending on the offer you have created.

Choose the right method

  • Use Direct Downloads when the client already has permission to receive the relevant files and no Shopping Cart selection is needed.
  • Use a Digital Download product when the file needs to be selected, included in a package or purchased through the Shopping Cart.

Avoid enabling unrestricted Direct Downloads if you intend to sell the same files through the Shopping Cart.

Set expectations about the files

Tell your client what the download includes and how it may be used. Depending on your service, this may include:

  • Whether the files are intended for social sharing, personal printing or both.
  • The approximate resolution supplied.
  • Whether printing rights are included.
  • Whether commercial use is excluded.
  • How long the gallery and download access will remain available.

Keep your licence or usage wording consistent with your contract and the package the client purchased.

Review before releasing the gallery

  • Confirm that the intended download method is enabled.
  • Check the resolution and any download limits.
  • Make sure files that should not be downloaded are excluded.
  • Open the gallery as a client and check the download or purchase path.
  • Confirm that the delivered file has the intended dimensions, colour and filename.

If a client cannot find a purchased download

First confirm that the order and payment completed successfully and check the email address used at checkout. Ask the client to check their junk or spam folder. If necessary, use Workspace to resend the digital download link.
