How to change or stop a Gallery Sales Workflow

Review a Gallery Sales Workflow carefully before activation. Once it is active on a gallery, changes can affect scheduled customer communication.

Identify what you are changing

The reusable workflow and the workflow applied to a particular gallery are related but not interchangeable. Confirm whether you want to improve the template for future galleries or change actions already associated with a live gallery.

Before activation

Edit the workflow items, triggers, audiences, dates and content, then read the sequence in chronological order. Confirm every action that should run is published and gallery-specific dates are current.

After activation

  • Open the live gallery workflow and review which actions have already run.
  • Identify any scheduled action that should no longer send.
  • Use the available status control to disable or unpublish that action before its trigger time.
  • Correct future dates, audiences or content only after confirming which gallery the change affects.

Changing an item cannot recall an email that has already been sent. If customers received incorrect information, send a clear correction only to the relevant audience.

Replacing the workflow

Do not apply a second workflow without checking for overlapping release messages, reminders, promotions and abandoned-cart actions. Where possible, stop the unwanted future actions first and then activate the corrected sequence.

If the live state is unclear

Pause before making further changes and contact support with the gallery, workflow name, affected item and intended outcome. This is especially important for high-volume releases and date-sensitive bulk reminders.
