How to use the Workspace Media Library

The Workspace Media Library stores images and other supported media that you can reuse in areas such as your website and creator tools. It is separate from the image files uploaded to a Client Gallery for delivery or sale.

Add media

When an image or supported file is required in a website or creator tool, choose the Media Library and upload the file if it is not already there. Give reusable assets clear names so they are easier to recognise later.

Choose suitable files

  • Use an appropriate size for where the image will appear.
  • Optimise website images so they remain sharp without being unnecessarily large.
  • Use clear, correctly licensed brand and portfolio assets.
  • Add meaningful alternative text when the page editor provides that field.

Reuse existing media

Before uploading another copy, check whether the correct asset already exists. Reusing an existing item keeps the library easier to manage and avoids several near-identical versions.

Be careful when deleting

An item in the Media Library may be used on a website page, blog post, slideshow or another part of Workspace. Check where it is being used before removing it. Deleting a source item can leave missing media wherever it was referenced.

Media Library or Client Gallery?

Use a Client Gallery for a client’s delivered photographs and gallery-based sales. Use the Media Library for reusable website, page and creator-tool assets.
