How projects, tasks and events work together

A project represents a job. It gives you one place to organise the actions, dates and related records needed to complete that work.

Projects hold the job together

Create a project for a specific assignment, such as a wedding, family session, commercial campaign or school photo day. Connect the relevant people and add only the working information that belongs with that job.

Tasks record actions

A task is something that needs to be done. Examples include preparing a quote, confirming a location, editing files or checking an album approval.

A task can be connected with a project, contact or client where relevant. General studio work can also exist without a client project.

Events reserve time

An event is a scheduled activity with a date and time. Examples include a consultation, photography session or album-planning meeting. Add the location and participants you need, then use the Calendar to check commitments.

Use each record for its purpose

  • Do not create a project for every small reminder.
  • Do not hide an important deadline only inside a note.
  • Do not use a task as the only record of a scheduled client appointment.
  • Do not make a simple project complicated simply because more fields are available.
