Workspace can support a client relationship from the first enquiry through to final delivery. Use the stages that suit your business; a simple job does not need every available feature.
A typical connected journey
Form → Lead → Contact or Client → Project → Quote → Contract → Invoice → Gallery → Album or other products, where applicable → Delivery
Marketing and Gallery Sales Workflows can support this journey, but they are separate tools with different audiences and triggers.
Capture and respond to an enquiry
A visitor can submit a Workspace form from your website or a shared link. Review the resulting enquiry and reply before deciding whether to progress it. When the enquiry becomes real work, connect the person with the appropriate contact, client and project records.
Organise the people and the work
- A contact is an individual person.
- A client can represent the customer or organisation connected with one or more contacts and projects.
- A project represents the job and keeps its work together.
See How to add and organise contacts and clients.
Confirm scope and payment
Use a quote when you need the client to consider proposed work and pricing, a contract when you need a formal agreement, and an invoice when payment is due. The exact order of the contract and invoice may depend on when you require an agreement, deposit or payment. Connect these records to the relevant project wherever possible.
See How to create and send a quote or invoice.
Deliver and sell
After the work is ready, share it through the appropriate Client Gallery. You can connect the client's video or slideshow to that gallery, keeping the different parts of the delivery experience together. If an album is part of the job, use album proofing to share the design for review and approval. Delivery may include digital files, printed products, an album or a combination of them.
Close the loop
Before treating the project as complete, confirm that required tasks are finished, payments are recorded, the client has received the intended work and any promised follow-up is scheduled.
