A Project Portal gives your client one place to access selected information connected with a project. You decide what belongs in the portal and whether to share it.
Choose what the client needs
Depending on the project and available features, the portal may bring together:
- scheduled events;
- quotes, contracts or invoices;
- useful files and external links;
- Client Galleries; and
- album designs.
The project may contain internal records that should not appear in the client experience. Review visibility deliberately.
Customise the portal
Add an appropriate header image, welcome text and guidance about what the client should do next. Keep the photographer’s brand and relationship primary.
Choose the access setting
Use a private portal and password when the information should be restricted. If you make a portal accessible to anyone with its link, consider what could happen if that link is forwarded.
Review before sharing
- Open the portal using its client-facing link.
- Confirm that the correct project and client are identified.
- Check every visible document, gallery, album and link.
- Try the password or access method in a private browser window.
- Check the page on a phone.
Send a clear invitation
Share the link and any password through an appropriate client communication. Explain what the portal contains and the action that needs attention.
Keep it current
Update portal content as the project progresses and remove or restrict items that should no longer be available. Do not rely on the portal as the only copy of important project records.
