How to create a coupon in Workspace

Coupons let you give customers a discount on product prices, shipping charges or both when they order through a Workspace shopping cart. You can control when a coupon is available, how often it can be used and which galleries, collections or products it applies to.

Open Coupons

  1. Select Settings in the main Workspace navigation.
  2. Under Shopping Cart, select Coupons.
  3. Select Create Coupon.

Name the coupon and create its code

Enter:

  • Coupon Name: an internal name that helps you recognise the promotion.
  • Coupon Code: the code the customer will enter in the shopping cart.
  • Coupon Description: a useful internal description of the offer and its purpose.

Use a code that is easy to read and type. Coupon codes are saved in uppercase.

Set the discount values

Choose whether the coupon discounts products, shipping or both.

Product discount

  1. Select Discount Products.
  2. Choose whether the discount is a percentage of the total product prices or a fixed amount.
  3. Enter the percentage or amount.
  4. For a percentage discount, use Discount Up to if you want to cap the maximum product discount.

If the product discount should also include shipping, select Discount Products are including Shipping. Otherwise, configure shipping separately.

Shipping discount

  1. Select Discount Shipping.
  2. Choose whether the shipping discount is a percentage of the total shipping cost or a fixed amount.
  3. Enter the percentage or amount.
  4. For a percentage discount, use Discount Up to if you want to cap the maximum shipping discount.

A shipping discount applies to the whole cart, including when the coupon is restricted to a particular product.

Set the rules and expiry

Complete the settings that control when and how the coupon can be used:

  • Start Date: the first date the coupon is valid.
  • Expiration Date: the final date the coupon is valid.
  • Maximum number of uses: the total number of orders that may use the coupon. Each shopping cart order counts as one use.
  • Order Minimum: the minimum order value required, including tax.

Dates are entered in the format shown in Workspace: DD-MM-YYYY.

Restrict the coupon to a product

If the coupon should apply only to a particular product, set Product based coupon to Yes. You can then choose the required product category, product and finish.

Leave this set to No when the coupon is not restricted to one product selection.

Choose which galleries and collections can use it

Under What Galleries does this Coupon apply to?, choose one of the available options:

  • All Galleries and Collections makes the coupon available across your galleries.
  • All Galleries and Collections with Tag limits it to galleries and collections using the specified tag. You can also restrict usage to one redemption per gallery.
  • Selected Gallery lets you choose a specific gallery and either all of its collections or one collection.

Check this selection carefully so the coupon is available only where you intend it to be used.

Save and activate the coupon

  1. Select Save Coupon.
  2. Return to the Coupons list if needed.
  3. Check the coupon's status.
  4. Select Activate when you are ready for customers to use it.

You can later edit, duplicate, deactivate or delete a coupon from the Coupons list. The number of uses is also shown for coupons with a usage limit.

How customers use the coupon

Share the coupon code together with the offer, applicable products, minimum order, expiry date and any other relevant conditions. The customer enters the code in the shopping cart and validates it before completing the order.

Before promoting the coupon widely, open the relevant public gallery or shop and confirm that the code produces the discount you intended.

Tax treatment

Where applicable, tax will be added to the discount given, just as it is to the original price. If, instead of a percentage discount, you specify a set value (for example, $100), Workspace will add tax to that value. In New Zealand the total discount deducted on $100 would therefore be $115 after adding 15% GST. If you wanted to offer $100 in total, tax would be deducted from that: the discount before tax would be $86.96, which would equal $100 after GST is added.

Workspace-fulfilled product shortfalls

If you offer discounts on Workspace-fulfilled products such as prints, canvases or albums, and the discounted amount your customer pays is less than the wholesale price of the products purchased, you must pay the difference between the payment collected and the wholesale cost before the products can be supplied.
